If you are the manager of the entity, access Administration settings > EACAT Procedures > Mailboxes

You will only see the Mailboxes section, if you have activated the option Use mailboxes in the entity in the General section.

In the Mailboxes section , you can perform actions that affect all mailboxes in your entity, such as searching for a specific one, sorting them according to different filters; export the resulting mailbox listings; and create a specific mailbox. You can also perform specific actions on a particular mailbox, such as importing and exporting users and services; or delete it. In addition, you will find other actions and more information in the subsections Users and Services.

In the Mailboxes section you will find:

1. Generic information about the mailboxes of the entity that allows you to:

  • Search mailboxes by name
  • View mailbox relationships structured according to filters:
    • No OU, if the mailbox has no organizational unit (OU) associated with it. It appears when your entity uses UO.
    • UO, the different UOs that have been created in your entity. It appears when UO services are performed in your organization.
    • No users
    • No services
  • Export lists of mailboxes, using the ... icon, previously applying the filters you need.
  • Create mailboxes

The global mailbox has special characteristics and is given by the system when you activate the organization of mailboxes. The global mailbox is born with all services and no users. On the other hand, in the mailboxes you create, you need to assign both users and services to them because they are initially empty. And, if applicable, organizational units (OUs) will also be assigned to them.

2. Specific information of a specific mailbox of the entity that allows you to:

  • Edit the name, import and export users and services in a csv file and delete it, using the icon ...

The rest of the specific information is in two subsections:

2.1 Users where you can:

  • Search users
  • Filter the list of users by the drop-down filters:
    • Assignment (All, Assigned and Unassigned)
    • Mailbox (All, With mailbox and Without mailbox). It appears when your entity is in the mailbox system.
    • Status (All, Active and Inactive)
  • Assign users one by one or if there are many, import users through a csv file.

2.2 Services where you can:

  • Select the UO that corresponds to the mailbox. It will appear to you only if your entity is in the mailbox system and can use UO. In addition, the mailbox must be associated with a OU.
  • Search services
  • Filter the user list by filters:
    • Assignment (All, Assigned and Unassigned), which only appears in specific mailboxes since the global mailbox has all assigned services.
    • Type of service (All, Specific and Generic)
  • Assign services one by one or if it is a large amount import services through a csv file.

You can assign services to the mailboxes you have created; on the other hand, you cannot assign any to the global mailbox, only view it, because when it is created it already has them all assigned.
