6. What is the search engine used for?
The search engine provides quick access to the procedures you have already processed, allowing you to efficiently search for any specific information you need.
The Processing Area has two types of search engine:
- The basic search engine search , which allows you to search by entering keywords related to the procedure you are looking for. You can select to search on one of the following fields: subject, registration number, file number and procedure identifier.
- The advanced tune search engine, which allows you to perform more precise searches using various filters.
For more accurate and relevant results, use both search engines and the filters in the filter bar.
When we talk about search engine, we always refer to the search engine for words in the Processing Space. Whenever we talk about the advanced search engine, we will specify it.

7. What is the function of the filter bar?
The filter bar is used to limit the number of results and make it easier for you to find the procedure you need. The filter bar contains most of the filters available in the advanced search engine, which are:
- Period today : Start and End
- Shared with me group , which indicates the files that have been shared with me.
- Responsible account_circle , is a drop-down filter with the options: everyone, I am responsible and I am not responsible for the file.
- Folder service to which the procedure belongs.
- Sender/Receiver/Interested party account_balance : we use these terms to refer to the entity involved in a procedure, depending on the tray in which we are working:
- In the Receipts tray, Issuer is the entity that sends the procedure.
- In the Sent tray, Receiver is the entity that receives it.
- In the Received and Sent tray, Interested Party is the entity that can issue or receive the procedure.
You can also access Advanced Search from the filter bar, where you will find additional drop-down filters such as:
- Territorial demarcation , which is the territorial scope of the entity issuing the procedure.
- Region to which the entity issuing the procedure belongs.
If you select any of the options in these last filters, they will appear in the filter bar. If you are not interested in them, you can close them from the same bar.
Only procedures from the last 6 months are shown. To consult previous procedures, modify the period using the search options or click the "Show previous 6 months" button, which you will find at the end of the search results.
For now, you can only search for completed procedures, which are located in the Received, Sent, or Received and Sent trays. Later, you will also be able to search for unfinished procedures (draft and to sign trays).
8. What are favorite searches?
This new feature allows you to save and quickly access queries for procedures that you perform frequently. This simplifies access to recurring procedures, so you don't have to search manually every time you need to consult a specific procedure.
You can save up to 10 searches. Once you reach the maximum, if you want to save a new one, you will need to delete one from the list first.
