In the My Procedures subsection, the procedures are distributed in trays, the completed ones ( Sent and Received ) as the pending completion ( In process ) and also the trays ( To sign , Drafts ) related to the status of the procedures designed with web form technology.

In each of these trays is the functionality of the procedure finder , whose appearance is similar. In the case of Inboxes and Outboxes , you can perform advanced searches using the following filters:

  • Service
  • Procedure
  • Dates (can be done between two dates)
  • Sender / Recipient
  • Num. registration
  • File

The search result returns entries or exits from the services for which you have permissions, which can be exported using a CSV file.

In the case of the To Sign and Drafts trays, as these are unsent procedures, some fields are not required and advanced searches are performed using the following filters:

  • Service
  • Procedure
  • Dates (can be done between two dates)
  • Recipients

The different paperwork trays that appear in My Procedures are:

    • Inboxes and Inboxes contain the entries or exits , respectively, of the services for which permits are available, arranged page by page using the template of the list of procedures received or sent, the fields of which coincide with the search fields. This template reproduces the list of procedures arranged by: service, procedure, sender, no. of file, check-in and date and time of processing. In the information relating to the service there is a number in parentheses , relating to no. of shipments from that file, whether they are incoming or outgoing.

      Only in the case of generic submissions , icons can appear on the right side of the settlements , which indicate whether or not that generic submission has been assigned to a user or group so that they can view and work with it.
      The users who will be shown the icon are:

      • Those who have the registration role ( Consult the online registration book within the Entry / Exit Registration function).
      • Those who have downloaded the generic submission form submitted.
      • Users assigned by icon to a specific generic submission, by one of the two types of users above.

      Whether the icon is displayed in white as if shown in blue , users who have the registration role and who have downloaded the generic submission can assign new users or groups to it.

      In general, for all types of procedures, if you click on one you enter the thread of execution of the file , from where all the procedures related to that file are displayed , whether they are received or sent; as well as processing receipts (by clicking on the registration number); and annexes.

      The following features are available from the thread:

      • Enter the file number
      • Send a response procedure to another entity.
      • Download a file with the forms of the procedures, the processing receipts and the annexes.

    • Trays To sign and Drafts , the procedures are pending signature or draft , respectively; provided that they are procedures belonging to services for which permits are held. These procedures are carried out within the platform as they are web forms and go through different states: draft and pending signature. The paperwork list is arranged page by page using the paperwork template for signing or drafting, whose fields match the search fields. This template reproduces the list of procedures arranged by: service; procedure; recipient and date and time of last modification.
    • In process, the procedures appear that, temporarily, have not completed their processing due to technical issues, but that are in the process of being processed, and therefore, of completion. This tray only appears when there is such a procedure in the entity.

    The list of procedures is displayed on a page-by-page basis using the In-Process Procedures List template, which consists of the following information: service, procedure, recipient, subject and date and time of processing. All the procedures of the entity in this state appear, but with the subject anonymized if the user does not have the permissions of that service; the message "WITHOUT PERMISSION OF THE SERVICE " appears instead of the subject.

    To prevent them from being processed again, a notice appears in the Catalog. Its purpose is for the processing user to realize when he / she starts a procedure that he / she has one of the same type that is being processed.

    Finally, My Procedures should not be confused with the Entry and Exit Register, which has its own section. In My Procedures there are only EACAT - Procedures procedures, while in the Register there may be other types of documents (invoices, etc.).
