GS - Notices of AOC services procedures, which are registered upon entry

The notification system allows you, if you wish, to receive a single e-mail every day, with a summary of the entry settlements, of the services of the AOC Consortium, that your organization received the previous day. Each user can receive notices from the services to which they have access.

To receive this email, you must activate notifications in My Space in the Settings section. In the case of new users, at first, it is done by the manager of the entity and, subsequently, each user can personalize it.

The services of the AOC Consortium, which create an entry in the entry register of your entity, are capable of generating a warning email, as follows:

• Inter-administrative processing services (EACAT Procedures):
  • Specific services
  • Generic services , for example generic delivery.
• The rest of the AOC services , for example the services SIR, e-FACT, e-TRAM 2.0, which generate an entry in the entry register of your entity.

In the case of the services of EACAT Procedures (specific or generic), if you have access to the service it allows you to receive notices.

In the image, it is shown how the manager of the entity goes to the Configuration/Users section and, once a specific user is selected, assigns the role of Notices in the SIR service. But remember that we can assign this role or any other of a service, starting from the subsection Services , as we show you in the image.

It should be noted that, if we select more than one user, we will have to assign the Notifications role one by one.

In the case of the generic services of EACAT Procedures, within which we find the generic shipment, the one who gives access is the one who has the role of Consult the telematic register book of the service Entry/exit registration (from now on, role of registration).

In generic submission, the person holding the registration role is allowed to assign it to another user or group of users. However, if the person in charge of the register does not assign it on the same day that the entry enters the register and assigns it days later, to a person or group of people, this entry will not arrive in the periodic mail of notices, since this mail reproduces the previous day's entries.

Once the entity's manager has done his work, each user is the one who activates the notification system in My Space.

Each user decides whether or not to activate the notification system by editing the My Space subsection.

In the section Subscription to notices , select Activate and press the Save button.

Activate the bell icon in the services of the AOC Consortium that you are interested in receiving notices; whatever the type of service as long as it generates entries in your organization's entry register. Do the same with generic inter-administrative processing services (EACAT).

In the case of generic services , an information icon appears next to it ( ), which when pressed opens the informative alert informing us that only users with the registration role have access to these services. Although these can give access to a procedure to other users of the entity. In relation to this it is important to know that, for these other users to receive the notices, it is necessary that the user with the registration role gives access to these people on the same day that the procedure is entered in the entry registration; since the mail of the notices is received with the information, corresponding to the entry entries in the register of our entity from the previous day. Therefore, if they were not assigned on the same day, these users would not receive the previous day's notification mail.

On the other hand, in the specific services of inter-administrative processing (EACAT), as a result of the large amount that exists and that any user can have, a more agile system has been created to activate the notices of the different services. Thus, we will find the two icons relating to:

• All ( ), that when you press it, the bells of each service will disappear and the notices of all the existing inter-administrative processing services and those that will be activated in the future from this moment are activated.
• customize ( ), that when you press it, the warning bells of the services appear and I can activate one service at a time, clicking on each bell of the services that interest me. But, I can also, to go faster, select the options of:
  • Enable all ( ), means that I activate the notices of all the inter-administrative processing services (EACAT) that exist so far.
  • Disable All ( ), all notifications for current services are disabled.

Depending on what type of user you are, the mail will have access to the check-in and check-out entries or not.

• Users with registration role will receive an email where the registration number is a link to the registration settlement.
  

• Users without a registration role will receive an email with the registration numbers but without any link to the registration settlement.
